About 45 minutes for the essentials 9 steps + a tour of every Interior tool Go at your own pace

? How to use this guide

  1. 1Do the common setup first — this guide assumes it's done.
  2. 2Every step names exactly where to click, using the app's own menu names.
  3. 3Steps marked optional can be skipped if that feature isn't for you.

✓ Before you begin

  • ✓The common setup is done (company, billing, team).
  • ✓A client and a project or two to add.
  • ✓An idea of your project stages — design, execution, handover.
Part 1 of 4

Set up your workspace

Start with your clients and, if you'd like, the vendors and materials you buy from. A little groundwork makes projects, quotes and orders quicker later.

1

Add your clients

The people whose spaces you're designing. Add them one by one, or import a whole list.

~1 min each
Clients › Add Client
  1. Open Clients and click Add Client.
  2. Fill in their name, contact details and the site address for the project.
  3. Got a spreadsheet? Use Import on the Clients page to bring many in at once.
✅Consent matters — tick the marketing / WhatsApp consent boxes only when the client has agreed, before any automated message goes out.
2

Add your vendors & materials

The suppliers you buy from and the materials you use — so ordering and costing is a few clicks later.

~8 minOptional
Vendors

Add the suppliers and contractors you work with, with their contact and tax details.

Materials

Build a catalogue of the materials you use, with their rates — ready to add to projects.

Part 2 of 4

Run the project

The core of the module — create a project, quote it, plan the work with milestones and site visits, and keep tasks and documents in one place.

3

Create a project

A project is one job for one client, from brief to handover. This is your command centre for the work.

~5 min
Projects › New project
  1. Open Projects and click New project. Pick the client, name the project, and set its stage (e.g. Design, Execution).
  2. Use the board view to drag projects across stages as they progress, or the list view for an overview.
  3. Open a project to work in its tabs — Overview, Gallery, Timeline, Site, Materials and Payments — everything for that job in one place.
💡Everything hangs off the project — quotes, milestones, site visits, materials and payments all attach here, so the project page is the single view of where a job stands.
4

Quote the work

Send the client a professional quotation, then turn it into an invoice when they say yes.

~6 min
Quotations
  1. Open Quotations and create one for the project — add the scope, amounts, discount and tax.
  2. Download the PDF to send it — it uses the logo, style and numbering from your common setup.
  3. When the client accepts, Create Invoice from the accepted quotation — no retyping — then collect payment in stages (step 7).
🧾One shared billing engine — quotes and invoices look right because you set them up once in Billing › Settings (common setup).
5

Plan milestones & site visits

Break the project into stages with dates, and schedule the visits to site.

~8 min
Milestones  ·  Site Visits
  1. Open Milestones and add the key stages of the project with their dates — see them laid out on a timeline (Gantt) so you can spot clashes.
  2. Open Site Visits to schedule a visit — the client gets an automatic confirmation if you've turned on WhatsApp.
🗓️Milestones keep projects honest — a dated plan everyone can see is the simplest way to keep a job on schedule.
6

Track tasks & documents

Keep the to-dos and the files — drawings, contracts, before/after photos — attached to the project.

Ongoing
Tasks  ·  Documents
  1. Use Tasks for the project's to-do list — assign them and tick them off.
  2. Use Documents (and the project's Gallery tab) to store drawings, contracts and progress photos where the whole team can find them.
📁Keeping files on the project means anyone picking up the job has everything in one place.
Part 3 of 4

Get paid & go live

Collect what you're owed in stages, run your enquiry pipeline if you want one, and watch the numbers.

7

Collect staged payments

Interior projects are usually paid in instalments — track what's due, what's in, and what's outstanding.

~5 min
Collections  ·  Billing
  1. Open Collections to set up the payment stages for a project (e.g. advance, mid-way, on completion) and record each payment as it comes in.
  2. Raise a formal invoice from Billing whenever you need one — it uses your common-setup branding and tax.
💡Staged payments protect your cash flow — tracking each instalment against the project means you always know exactly what's still owed.
8

Manage your enquiries

A simple pipeline for the leads and call-to-action enquiries coming into your studio.

~4 minOptional · managers
CTA Management
  1. Open CTA Management to track incoming enquiries and move them towards becoming projects.
9

Read your reports

See how your studio is doing — active projects, revenue, outstanding payments and more.

Ongoing
Dashboard  ·  Reports
  1. Open the Dashboard and Reports to see active projects, revenue and outstanding collections at a glance.
  2. It fills itself from your projects, quotes and payments — nothing to set up.
📊Keep your projects and collections up to date and the reports stay accurate on their own.
