Set up the foundation your whole CRM shares
These seven steps are the same whichever module you use. Most live under the Settings menu. Do them once, then jump to your module's guide — everything there builds on what you set here.
Tell the CRM about your company
Your name, country, currency and time zone — the foundation everything sits on.
- In the left-hand menu, click Settings. The settings are grouped down the side — Account, Organization, Team & Access, Billing, Connections and Security.
- Open Organization › Company Profile. Type your company name and pick your country, currency and time zone.
- Add legal details if you have them — registered name and tax numbers. Don't have them yet? Skip for now.
- Click Save.
Check your plan & modules
See which module(s) your subscription unlocks and how many team seats you have.
- Open Settings › Billing to see your current plan, which modules it includes (Sales, Service, Nutrition, Interior), and how many team seats come with your tier.
- Need another module or more seats? Use Change Plan here whenever you're ready.
Set up invoicing, tax & your logo
Every module bills through one shared engine. Set this up once and every quotation, invoice and receipt comes out looking right.
Open Billing from the menu, then the Settings tab. Work down the tabs — you can save as you go.
1. Company info & logo
Your legal name, address and contact details, plus your logo — this is exactly what prints at the top of every document you send.
2. Bank & payment details
Account details you want shown on invoices so customers know where to pay.
3. Tax
Your tax rate and whether tax is shown as a single line or split (e.g. CGST + SGST). Leave it off if you don't charge tax.
4. Numbering
The prefix and starting number for your documents (e.g. INV-0001). Numbers are then assigned automatically.
5. Document style
Pick a look for your printed documents — Classic, Modern or Branded. A preview shows each.
6. Approval policy (optional)
Want a second person to sign off before a quote or invoice goes out? Choose who approves each document type. Leave it off to send straight away.
Add your team & give them access
Invite the people who'll use the CRM, and choose which module(s) each one can open.
- Open Settings › Team & Access › Users & Seats and click Invite.
- Enter their work email and pick a role (more on roles next).
- Tick which modules they may use — a person can be given just Sales, just Nutrition, or several.
- Click Send invite. They get an email with a link to set a password and sign in.
Review roles & permissions
Roles decide what each person can see and do. The ready-made ones cover most teams.
- Open Settings › Team & Access › Roles & Permissions to see the built-in roles: Owner, Manager, Executive, Staff and Client.
- In short: Owner runs the account; Manager sees their team and approves; Executive and Staff do the day-to-day; Client is the most limited.
- You assign a role to each person when you invite them (step 4) — change it here any time.
Set up email & WhatsApp
How the CRM sends messages to your customers. Set now or come back later.
Send email from your own address
By default emails come from Verdeshell. Connect your own email provider so messages come from your company instead. You can also send simple emails and run campaigns from here.
WhatsApp (paid add-on)
Send WhatsApp updates to customers — appointment reminders, status updates and more. Connect a provider and turn on the add-on, then set which events send a message.
Bring in your existing data
Already have contacts or customers in a spreadsheet or another tool? Import them in one go.
- From a spreadsheet: open your module's list (Contacts / Customers / Clients) and use Import — download the sample file, fill in your rows, upload. Anything that needs fixing is flagged for you.
- From another system: open Integrations to connect a data feed, generate an API key, or bring records in via a webhook.
Now set up your module
The common setup is done. Open the guide for the module your plan includes and follow it through. Bought more than one? Set up each in turn.
