Set up your sales workspace
Before you add a single lead, shape the workspace they'll flow through — your pipeline stages, and (optionally) a product list and your own labels and fields. Do this once and everything downstream fits.
Set up your pipeline & stages
Your pipeline is the set of stages a deal moves through, left to right — from first contact to won. This is the heart of Sales.
- Open Pipeline from the menu. A starter pipeline with common stages (Lead, Qualified, Proposal, Negotiation, Won, Lost) is already there.
- Click Manage pipelines to rename, add or remove stages so they match how your team really sells. Drag to reorder.
- Won and Lost are the finish lines — a deal dropped into Won is marked won (and dated) automatically.
- Sell in more than one way (e.g. "New business" vs "Renewals")? Add a second pipeline and switch between them at the top of the board.
Build your product catalog
A reusable price list — the products or services you sell, with their prices — so quotes and deals are a few clicks, not retyping.
- Open Product Catalog and click Add.
- Enter a name, price and currency for each product or service you sell.
- Later, when you add line items to a deal or quotation, you pick from this list and the price fills in for you.
Add your own labels & fields
Tailor the CRM to your business — colour-coded labels to group records, and custom fields for anything the standard form doesn't capture.
Labels
Create a set of coloured labels (e.g. "Enterprise", "Warm", "Partner") to tag contacts and deals, then filter by them across your lists.
Custom fields
Add your own fields to contacts, deals and companies — a dropdown, a date, a number — for the details your business tracks.
Bring in your leads & work them
Now the day-to-day. Add the people you're selling to, move their deals across your pipeline, send quotations, and keep every follow-up on track.
Add your contacts & leads
The people and companies you sell to. Add them one by one, or import a whole list at once.
- Open Contacts and click Add Contact.
- Fill in their name, company and how to reach them — email and phone. Add any labels or custom fields from Part 1.
- Set their lifecycle stage — a new contact usually starts as a Lead. As they progress you can convert them to a Customer.
- Got a spreadsheet? Use Import on the Contacts page — download the sample, fill it in, upload. Everyone's added at once.
Automate how leads are handled
Optional power tools — score leads by quality, auto-assign them to the right rep, and drip a sequence of follow-ups.
Lead scoring
Set rules that add points for the things that matter (country, industry, a field you care about). Each lead gets a score so your team knows who to chase first.
Lead routing
Automatically hand a new lead to the right person — by territory, in a round-robin, or a catch-all rule — so nothing sits unassigned.
Sequences
Build a cadence of steps — a task on day 1, an email on day 3 — and enrol a contact so the follow-ups happen on schedule.
Create deals & move them through the pipeline
A deal is a potential sale. This is where selling actually happens — on the board.
- Open Deals (or the Pipeline board) and click Add Deal. Give it a title, a value, the contact it's for, and a stage to start in.
- On the Pipeline board, drag a deal card from one stage to the next as it progresses.
- Drag it to Won when you close it, or Lost if it falls through (you can note why).
- Open any deal to set a probability, assign an owner, add line items (from your catalog), and record the other people involved in the buying decision.
Send quotations & invoices
Turn a deal into a formal quote, then into an invoice — using the branding and tax you set in the common setup.
- Open Billing and click New, then pick Quotation. Choose the customer, add line items, and your tax and totals are worked out for you.
- Download the PDF to send it — it uses the logo, style and numbering from your common setup.
- When the customer accepts, open the quotation and choose Convert to Invoice — no retyping.
- Got paid? Open the invoice and Record Payment (full or partial). Its status updates to Paid automatically.
Log activities & stay on top of tasks
Every call, email and meeting, plus your to-do list — so nothing slips and the whole history is on the record.
- On any contact or deal, use Log activity to record a call, email, note or meeting — building a full history.
- Add a follow-up task with a due date so you're reminded to circle back.
- Open Tasks to see your working queue — grouped by Overdue / Today / This week. Tick them off as you go.
Track & grow
Your team is selling. Now set the goals, add a safety check for big deals if you want one, and watch the numbers — most of this reports itself from the work you're already doing.
Set targets & watch your forecast
Give the team a number to aim at, and let the CRM project where you'll land — both computed from real deals.
Targets
Set a goal per person or team for a month, quarter or year. You set the goal — the CRM measures what's actually been won against it. Nothing to enter by hand.
Forecasts
See a live projection from your open pipeline — weighted by each deal's probability — so you know where the quarter is heading.
Add an approval gate
Want a manager to sign off before a deal reaches a certain stage — say, before it's marked Won? Set a gate.
- Open Approval Gates, pick your pipeline, and choose the stage to protect.
- Turn the gate on and choose who approves. From then on, moving a deal into that stage asks for sign-off first.
Read your reports
Dashboards that turn all that activity into a picture — win rates, pipeline value, trends and team performance.
- Open the Dashboard for an at-a-glance view, and Reports for the detail — pipeline, win/loss, trends and cohorts.
- Where you sell in more than one currency, pick a reporting currency — the CRM never mixes currencies in a single total.
