Everyday use — the screens you'll open every day
Once your team is set up, this is the day-to-day: finding your work, updating it, talking about it and staying in the loop. Each section says what it's for, who sees and changes it, and how to do the main jobs there.
Home
Your starting page: what's on your plate and what changed since you last looked.
Home is the page you land on after signing in (also Home at the top of the sidebar, or G then D). It shows your own work and the projects you can open, so it looks different for each person.
Read your day at a glance
- Under the greeting, one line tells you how many of your work items are overdue and how many are due in the next 7 days.
- The next line is your organisation in brief — projects, active sprints, open work items and members. Projects and members open their pages, active sprints opens the My sprints list, and the open work items count is just a number.
Work through My open work items
- My open work items lists what is assigned to you, most urgent first, with the real total beside the title. Click a row to open that work item.
- View all opens the full list, with the tabs All, Overdue, Due in 7 days, In progress and To do, and a filter by project.
Catch up on Recent Activity and My sprints
- Recent Activity shows your latest notifications. Click one to open what it is about; View all opens the Notifications page.
- My sprints shows the sprints running in your projects — yours first, then the ones ending soonest — each with its "Day N of M". Click one to open that sprint's board.
Jump to…
Find any project, page or work item without clicking through menus.
Jump to is the quickest way around Flow. It only offers projects and pages you can open — someone who isn't an Owner or Admin, for example, won't see Billing in it.
Open a work item by its key
- Press ⌘K on a Mac or Ctrl K on Windows — from anywhere, even while typing — or click Jump to… at the top of the sidebar.
- Type the work item's key, like PROJ-42. Inside a project, the number alone is enough. Choose Open work item in … and press Enter — or ⌘/Ctrl + Enter to open it in a new tab.
- Type part of a project's name or key, or a page name such as Backlog, Members or Your account, to go straight there. Inside a project, the last choice searches that project's backlog for what you typed.
- With nothing typed, it shows your recent projects and the pages you can open.
Use keyboard shortcuts
- Press ? (outside a text box), or open your name at the foot of the sidebar › Keyboard shortcuts, to see the list.
- G then D goes to Home and G then P to Projects. Inside a project: G then B for the Board, G then L for the Backlog and G then S for Sprints (Scrum projects). Esc closes an open dialog.
Switch project or organisation
- Inside a project, the project's name in the sidebar is a switcher: click it, then Find a project or pick one under Recent. Outside a project, the sidebar lists your Recent projects.
- Belong to more than one organisation? Click the organisation name at the very top of the sidebar and pick another one under Organisations. Each one shows your role there, and the current one has a tick.
A work item
Open one piece of work, read it and move it along.
A work item opens in a side panel over the board or backlog, so you keep your place. Every item also has its own address and its own full page. Product Owners, Scrum Masters, Developers and organisation Owners and Admins can change it. For everyone else the item opens read-only: Stakeholders read it, comment on it and watch it. A custom role with Edit work items only unlocks the Custom fields card here — the title, status, other fields, description, links and files stay read-only.
Open it, step through, share it
- Click a card on the Board or a row in the Backlog: the side panel opens. ⌘/Ctrl-click, or a backlog row's ⋯ › Open in a new tab, opens it in a new tab instead.
- With the panel in focus, ↑ and ↓ (or the arrow buttons at the top of the panel) move to the previous or next card, in the order shown on screen.
- Open full page (top of the panel) shows the item on its own page; the close button closes the panel. If you have an unsaved comment or description, Flow asks before closing.
- Copy link (the chain icon at the top) copies the item's address to paste in a chat or email. Anyone who can open the project can follow it.
Move it along — status, assignee, priority
- Under the title, the Status, Assignee and Priority chips are menus. Pick a new stage under Status to move the item — the same as dragging its card on the board.
- A stage shown greyed out has entry rules you don't meet yet; the menu says why. An item in a completed sprint keeps its status.
- Assignee lists the item's pod members first, then the other project members. Stakeholders can't change who an item is assigned to here; a custom role that allows assigning only lets them pick an assignee when they create an item.
- Click the title to rename the item; Enter saves, Esc cancels.
Flag a blocker
- In the side panel, open All fields (on the full page the field is already shown) and find Flagged.
- Tick Impediment and, if you like, type a Reason (optional). The item now shows a flag on the board and in the backlog, and the Flagged filter finds it.
- Untick it once the blocker is gone.
Fields on a work item
Status, assignee, estimates, dates and your own custom fields.
In the side panel the main fields come first — Sprint, Story points, Type, Parent, Start date, Due date and Components — and All fields shows the rest. On the full page they're grouped under Planning and Classification. The Scrum Team (Product Owner, Scrum Masters, Developers) and organisation Owners and Admins change them; everyone else who can open the project sees them read-only. The one exception is the Custom fields card: a custom role with Edit work items also lets its holder fill those in.
Plan the work
- Sprint (Scrum projects): a planning or active sprint, or Backlog. A completed sprint can't be picked.
- Story points for relative size, Estimate (h) for hours, and Size (XS, S, M, L, XL) for a rough T-shirt size.
- Start date and Due date. The due date can't be before the start date — Flow says so under the field.
- Fix version: the release this item ships in (see Releases).
Describe it
- Description uses the same rich text editor as comments. Stories, epics and bugs also have Acceptance criteria: what must be true for the item to count as done.
- A bug has a Severity: S1 — Critical, S2 — High, S3 — Medium or S4 — Low. Any item can have a Track: Discovery or Delivery.
- A spike has its own fields: Goal (what question it answers), Findings, Decision and a Time-box (days).
- Labels: type one and press Enter. Components: pick the parts of your product the item belongs to (the project's list is kept by its Product Owner — see Components).
- The Custom fields card shows any extra fields your organisation added (text, number, date, single or multi choice, person, link, checkbox). Organisation admins set them up — see Custom fields.
Connect it to other work
- Parent places the item under an epic (or, for a subtask, under its story, task, bug or spike). The rules are in Epics, stories & subtasks.
- Under Linked work items, click Link, choose Blocks, Relates to, Duplicates or Clones, and find the other item by title or number. The other item shows the reverse — Blocked by, Duplicated by or Cloned by.
- Remove a link with the × on its row.
Comments & @mentions
Talk about the work where the work is, and pull people in by name.
Talk about the work on the work item itself, so the conversation stays with it. Everyone who can open the project can comment and watch — Stakeholders included.
Write a comment
- In Activity, click Add a comment…. The toolbar has bold, italic, underline, strikethrough, inline code, Heading 1–3, bulleted and numbered lists, quote, code block, divider, Link and Insert table.
- Click Comment, or press ⌘/Ctrl + Enter, to post it.
- Check before you post: a comment can't be edited or deleted afterwards. If you leave the item with a comment not posted yet, Flow asks first.
@mention someone
- Type @ and the start of a name. The list offers the project's people; pick one and the name becomes a chip.
- They get a Mentioned notification — in the app and by email, unless they turned it off. Only people who can open the project are notified, and a mention inside code isn't one.
Read the conversation and the history
- The Comments, History and All tabs switch between the conversation, every change made to the item, and both together.
- Comments are newest first; Load older comments fetches earlier ones. In History, Show older changes does the same.
Watch a work item
- Click Watch at the top of the item; it then reads Watching. Click the number beside it to see who else is watching.
- You start watching automatically when you create an item, are assigned to it or comment on it. Watchers hear about new comments and status changes.
Files & time
Attach files to a work item and log the time you spent.
Only the Scrum Team — Product Owner, Scrum Masters, Developers — and organisation Owners and Admins add files and log time; a custom role doesn't add a Stakeholder to them. Everyone who can open the project sees the files; time entries are for the Scrum Team and Owners and Admins, so Stakeholders can't see time entries (the Time card stays empty for them).
Attach files
- In the Files section, click Attach and pick one or more files — or drop files anywhere on the open work item. Each upload shows its progress.
- Each file can be up to 25 MB.
- Each file has Download; images and PDFs also have Preview. You can delete files you uploaded; organisation Owners and Admins can delete any file.
Log time
- In the side panel, open All fields and find the Time card (on the full page it's in the right-hand column). Click Log time.
- Enter the hours and/or minutes, the day you worked (today unless you change it — not a future day) and an optional Note, then click Log time.
See time logged
- The card shows the total logged against the item's Estimate (h), with how much is left — or over, in red.
- Each entry lists who logged it, the note and the day. Remove one of your own entries with its ×.
Notifications
What Flow tells you about, and how to keep up without being flooded.
Flow tells you when something needs you. Your notifications are yours alone — nobody else sees them.
Check the bell
- The bell at the top of every page shows how many notifications you haven't read. Click it for the latest ones; click one to open what it's about.
- Mark all read clears the count. Notifications at the top of the list opens the full page.
Use the Notifications page
- Choose All, Unread or Mentions. Notifications are grouped by day, newest first; Load older fetches more.
- A sprint started takes you to that sprint's board; a sprint completed takes you to its sprint report.
- Notification settings (top right) takes you to your choices.

Choose what reaches you
- Open your name at the foot of the sidebar › Your account › Notifications (or Notification settings on the Notifications page).
- Switch In-app and Email on or off for each kind. Everything is on until you turn it off.
- Your choices apply to the organisation you are in. If you belong to several, set them in each one.
Your account
Your profile, sign-in and security, notification choices and appearance.
Settings that affect only you, in four tabs: Profile, Sign-in & security, Notifications and Appearance.
Profile
- Photo: Add photo or Change photo — PNG, JPG or WebP, up to 5 MB.
- Name: change your first and last name, then Save changes.
- Email is what you sign in with; it can't be changed here. In this organisation shows your role.
Sign-in & security
- Change password: 8–64 characters, with an upper case letter, a lower case letter and a number. You stay signed in on this device; every other device is signed out.
- Two-factor authentication: Set up two-factor with an authenticator app, then keep the recovery codes it shows somewhere safe.
- New recovery codes replaces your codes (your old ones stop working); Turn off switches two-factor off. New recovery codes asks for a current code from your authenticator app; Turn off takes either that or one of your recovery codes. If one of your organisations requires two-factor, you can't turn it off.
Notifications and Appearance
- Notifications: what reaches you in the app and by email — see Notifications above.
- Appearance: Light, Dark or System (follows your device). The same choice is under Theme when you click your name.
- To sign out, click your name at the foot of the sidebar › Sign out.
On your phone
Use Flow from your phone's browser when you're away from your desk.
There's nothing to install: sign in to Flow in your phone's browser. The screens rearrange themselves for a small screen.
Find your way
- Tap ☰ (Open menu) at the top left. The menu holds everything the sidebar does on a computer: your organisation, Jump to…, Home, Projects, the project's pages and your name.
- Tap a page to go there, or close the menu with its × button.
Use the board
- The board shows one column at a time. Swipe sideways, or tap a column's name in the row of tabs above the board — each tab shows how many items the column holds.
- If you can create work items, the bar at the bottom reads Add work item to … the column on screen.
Work on an item
- On an item's full page (Open full page in the panel, or a link someone shared), the fields fold into one line — for example "Sprint 12 · 3 points · due Fri 3 Oct". Tap Details to see them all.
- There, the Add a comment… bar at the bottom of the screen takes you straight to the comment box.
