Everyday use — dashboards, self-service & the mobile app
Setup is done. This part is about the normal working day: what each dashboard tells you, what every employee can do for themselves, how managers approve requests, and what people can do from their phone.
Dashboards — your day at a glance
Three home pages: one for the company, one for your team, and one just for you.
The Admin dashboard shows your whole organisation today, and what needs you. HR, the company owner, admins, finance approvers, leadership and the board can see it.
- Six headline numbers: Headcount (with joiners and leavers this month), Present today, On leave today, Not checked in, Waiting for you and Probation due.
- Attendance today: present, late, on leave, on duty, not checked in and absent. Click a group to see who is in it.
- Needs attention: overdue probation reviews, probation ending in 30 days, last working days this week, final settlements to process and employees without a shift. A line only shows when its count is above zero.
- Joiners vs leavers, headcount by department, people this week (birthdays, work anniversaries, joiners and last days), Who is out today and Upcoming holidays.
- If you run payroll, a Payroll card shows this month's runs and recent net pay. If you can see hiring or onboarding, Hiring & onboarding shows open roles, interviews, people being onboarded and overdue tasks.
The Manager dashboard (titled Your team) is for anyone who manages people. Every number covers only your team: the people whose profile names you as their reporting manager. Other kinds of reporting line (for example a project line) show on the org chart only and don't add anyone here.
- Headline numbers: In today, On leave today, Waiting for you, and, where your company uses them, Timesheets missing (last week) and Avg hours / day.
- Team today: one row per person working today, with status, check-in time and shift.
- Waiting for you: everything you approve, oldest first.
- Who is out — next 2 weeks, Team moments (birthdays, anniversaries, milestones), last week's timesheets and upcoming holidays.
Approve straight from the dashboard
- In Waiting for you, find a leave request or an attendance correction.
- Approve it, or reject it. A rejection asks for a Reason for rejection, which the employee sees.
- Other requests (expenses, travel, payroll inputs and so on) open the page where you decide them.
My Dashboard is for every user, and it only ever shows your own information.
- A today banner with your shift and whether you've checked in. When you're checked in, it shows how long you've worked so far and a Check out button.
- If you approve requests, a banner says how many are waiting. Click Review →.
- Four numbers: Leave available, Hours this week (compared with your expected weekly hours), This month and Next holiday.
- To do: things only you can finish. For example, a tax declaration you started or HR sent back, policies or letters to acknowledge, last week's timesheet, or training due.
- Leave balance (with Apply leave), My requests (your latest leave, expense, travel and attendance-correction requests with their status), a calendar of your month, your Latest payslip, what's coming up, company news and Celebrations this week.
The "My" menu — self-service for every employee
Your own pay, leave, attendance, documents and more, without asking HR.
The My group in the sidebar holds everything about you: Company News, My Payslips, My Tax, My Forms, Leave Balance, Holidays, My Bonuses, My Documents, My Letters, My Projects, My Attendance and My Exit. Everything here is about you alone. Nobody else's data shows.
This is the company feed. A pinned banner sits at the top. Below it are Company Updates, HR Corner, Events and People & Culture (spotlights, birthdays and work anniversaries).
- Read the posts. Some have an image or an event.
- If a post shows Acknowledge, click it to confirm you've read it. It then shows Acknowledged, and HR can see that you did.
This is a read-only list of the projects you're assigned to. It shows the Project, your Role, your Allocation (the share of your time), the Period and whether it is Active or Closed. A star marks your primary project. Your manager or a project lead sets these. Ask them if something is wrong.
My Payslips, My Tax, My Forms & My Bonuses
See what you were paid, lower your monthly tax, and download your tax forms.
Each month that has been released to you appears here, newest first. Each row shows Gross, Deductions, the income tax taken that month (with the year-to-date total), Net Pay and a Status.
- Click Details to see every earning and deduction line.
- Click Download (or Download PDF inside the details) to save the payslip. The PDF is the official payslip.
This is your Income Tax Declaration for the year. You choose your tax regime and declare investments, rent and other income so your monthly tax is right.
Make your declaration
- Under Tax regime, pick your regime. The new regime uses the standard deduction only. Investment deductions count only under the old regime.
- Fill in what applies: Annual rent paid (HRA), Other taxable income, Previous employer (this financial year), Let-out house property and your Investment & deduction declarations.
- Click Compare regimes to see your tax for the full year under each regime.
- Click Save draft to finish later, or Submit declaration. To change a declaration you've already submitted, use Update submission.
- Under Investment proofs, click Upload next to each deduction and attach a PDF or image. HR checks these before approving.
Download your yearly tax documents, such as Form 16, Form 12BB and your annual salary statement.
- Pick a Financial year.
- Click Download on a form. A form marked Pending isn't ready yet.
- If a form shows Acknowledge receipt, click it to tell HR you've received it.
This is a read-only list of bonuses approved for you. It shows the Type, Financial Year, Amount, Payment Date and Status. If a bonus was rejected or cancelled after approval, the reason is shown.
Leave Balance, applying for leave & Holidays
Know what you have left, ask for time off, and pick your optional holidays.
You get one card per leave type. The big number is what's available. Used and pending days are already taken off. For leave that builds up monthly, the card shows Accrued so far out of the year's entitlement. A bar splits Used and Pending. Below the cards are your Comp-offs (with how many days until each one expires) and your Leave History.
Apply for leave
- Click Apply Leave (or Apply leave on My Dashboard).
- Choose the Leave Type. Your available days for that type show above the form.
- Set the From Date and To Date. For a single day, the Day Type can be Full, First Half or Second Half.
- Add a Reason and click Submit Request. Your manager is notified.
Your requests are listed under My Requests. While a request is still Pending, you can Cancel it.
This page shows the company holidays for your office. Use the Location picker to see another office's holidays (for information only). Below that are the Optional holidays you can pick for your own location.
Pick an optional holiday
- Find a pool that still has picks left.
- Click Select on a day (or Request if the pool shows Needs approval), then Confirm.
- Changed your mind? Click Cancel (or Withdraw for a request still awaiting approval) before the date passes.
My Attendance, checking out & fixing a missed punch
Your day-by-day record, plus how to correct a wrong or missing time.
Use the arrows to choose a month. You'll see counts of present, absent, on-leave and half days, then Daily Records with each day's status, check-in, check-out and hours. Click a day to see where you checked in (with a map), any selfie photos, how the punch was recorded and remarks. A Regularized tag means the times were corrected through a request.
Check in on the mobile app or your office device. The website can't check you in. If you're checked in, the Attendance page shows a Check Out button at the top. It also works for a night shift that started yesterday.
Fix a missed or wrong punch (regularization)
- Open the Regularization tab and click Request Regularization.
- Enter the Date, the correct Check-in Time and Check-out Time, and a Reason (for example, "Forgot to check in").
- Submit. Your manager approves or rejects it, and the day is updated once approved.
Worked on a weekly off or a holiday? Use the On Duty tab to ask for credit for that day.
My Documents & My Letters
Your personal file cabinet, and the official letters HR sends you.
- Click Upload, choose the document type, pick a file (up to 25 MB) and confirm.
- Use the download icon on a row to open a document.
Offer, appointment, revision and experience letters from HR appear here. Each one is marked Issued, Action required, Accepted, Declined or Withdrawn.
- Click View letter to open it.
- For Action required, click Accept, or Decline and give a Reason.
My Exit — resign and track your clearance
Hand in your resignation and follow it through to your last day.
- Under Submit Resignation, choose the Exit Type (Resignation, Retirement or Contract End) and the Resignation Date.
- Your Last Working Day is worked out for you from the notice period on your profile. Tick Notice period buyout if you've agreed to leave on the resignation date.
- Add an optional Reason and Detailed Feedback, then submit.
- Follow Exit Status: Submitted → Approved → Clearance → Completed. The Clearance tab shows each team's sign-off.
Reimbursements — get bills paid back through payroll
Bills you paid yourself, approved and added to your salary.
Use this for something you paid personally that your company returns with your salary. Travel, project or cost-centre spending goes under Expense claims instead (next section).
Submit a bill
- Click New Reimbursement.
- Enter the Bill amount and Bill currency. The Payout currency comes from your salary. If the two currencies differ, also enter the FX rate, Rate date and FX source/reference (for example, your card statement). The Payout amount is worked out for you.
- Choose the Pay month. A past month is offered only while its payroll hasn't been processed yet.
- Enter the Bill reference, an optional description, and upload the Bill (PDF or image, up to 10 MB).
- Click Submit for approval.
Follow it
- Waiting: with your approver(s) — your reporting manager and the people your company has named on Settings › Responsibilities.
- Approved, then Processing: approved and on its way in a payroll run that hasn't been released yet.
- Paid: included in a released payroll.
- Rejected, Cancelled (cancelled after approval) or Withdrawn (you took it back).
Click a row to see the amount To be paid, the Pay month, any Currency conversion and each Approval step. Click Open bill to see your upload. While it is still Waiting, click Withdraw to take it back. Use the chips at the top to filter by status; the tiles above them show what's waiting, approved but not yet paid, paid this year and rejected.
Expense claims — claim what you spent on work
Trips, client visits and project spending, with receipts and an approval chain.
Create a claim in two steps
- Click New Claim.
- 1 · Claim details: give it a Title (for example, "Client visit"), check the Currency, and optionally link an approved travel request, a Project or a Cost center.
- 2 · Expenses: click Add Line for each expense. Pick the category, then enter the amount and date, and attach the receipt. Some categories need a receipt. Those lines show Receipt needed until you add one.
- Click Save & Submit for Approval, or Save as Draft to finish later.
After you submit
- The claim goes up your company's approval levels. Bigger amounts may need more levels. The approvers are your reporting manager and the people named on Settings › Responsibilities (a claim tagged to a cost centre goes to that cost centre's Finance Manager). Open a claim to see the Approval chain and the current Approval level.
- A claim in another currency is converted to your company's currency to decide which levels it needs. If no exchange rate is set for that currency, the claim is refused with a message saying so — exchange rates are kept by Verdeshell, so ask your admin to contact Verdeshell support.
- A level is never skipped. If a level the claim needs has nobody who can approve it, the claim is refused when you submit, with a message saying what's missing — pass it on to HR.
- An approver can approve a lower amount than you claimed. You'll see the approved amount on the claim.
- If an approver has a question, the claim shows Queried and the Approver query. You'll also get a notification. There's no reply box in the app — answer your approver directly, for example by email or chat. If the claim needs changing, use Withdraw to Draft (allowed only while no approver has decided yet), fix it and submit again.
- Once fully approved, the claim shows Awaiting payment. Finance marks it Reimbursed when it has been paid.
The tiles at the top count what's awaiting payment, in approval, in draft and queried. Use the chips All my claims, Drafts, In approval, Queried, Awaiting payment, Reimbursed and Rejected to filter your claims. A rejected claim shows the Rejection reason. If you approve claims, you also get a Waiting for you tile and the Waiting for me and All pending chips.
Approvals — where your team's requests land
One place for each kind of request, plus a single count on your dashboard.
The easiest start is Waiting for you on your dashboard. It counts most of what you approve and links to the right page. Here is where each request lives:
- Leave, attendance corrections and timesheets: Time & Attendance › Approvals, one tab each. Click Approve or Reject on a row. A rejection needs a reason.
- On Duty (work on a day off): Time & Attendance › Attendance, Pending Approvals tab.
- Expense claims: Operations › Expenses, chip Waiting for me. Open a claim and choose Approve (you may lower the amount), Query (ask a question) or Reject.
- Travel requests: Operations › Travel, Pending Approvals tab.
- Goals: Talent › Performance, then My team, Goals to approve. Choose Approve or Send back with a reason. These aren't counted in Waiting for you.
- Other requests (for example optional holidays that need approval, or resignations sent through an approval workflow): Operations › Workflows, Pending Approvals tab.
- Payroll inputs (bonuses, incentives, reimbursements and similar): Payroll › Payroll › Payroll Approvals. Approve one at a time, or tick several and click Approve selected. You can lower an amount, never raise it. Lowering a reimbursement needs a comment.
Delegations — cover your approvals while you're away
Let a colleague approve on your behalf for a set period.
- Click New Delegation.
- Choose the Delegate, the From Date and the To Date.
- Under Scope, leave All workflow types, or pick one area (Leave, Attendance, Timesheet, Expense, Travel or Payroll inputs).
- Click Create Delegation.
My Delegations lists the ones you set up, marked Upcoming, Active or Expired. Delegated to Me shows who has handed approvals to you. To end one of your own delegations early, use the revoke button next to it under My Delegations.
The mobile app — Verdeshell HRMS on iPhone & Android
Check in, apply for leave, claim expenses and approve requests from your phone.
Get started
- Install Verdeshell HRMS from the App Store or Google Play.
- Sign in with your work Email and Password, the same ones you use on the website. Forgot it? Tap Forgot password? to get a reset link by email. The link lasts 30 minutes.
- Optional: turn on App Lock under My Profile › App Settings › Security to unlock the app with your fingerprint or face.
The bottom tabs are Home, Attendance, Profile and, if you manage people, Team (the people whose profile names you as their reporting manager). The ☰ menu holds everything else: Leave, Holidays, Timesheets, Travel, Org Chart, Expenses, Company News, Notifications, Change Password and Sign Out. You only see the parts your company uses.
Check in and out
- Open Attendance and tap Check In. The first time, the app explains that it reads your location only when you tap a button, never in the background. Then allow location.
- At the end of the day tap Check Out. You can check in and out more than once a day.
- Optional: tap In Photo / Out Photo to add a selfie to the punch.
- Work-site areas: your company may set an area around your office. Depending on its choice, the app either just records how far away you were, or refuses a check-in from outside the area. If outside punches are refused, a Check my location link tells you whether you're close enough. If you were refused, submit a regularization.
- Face check-in: tap or use Face Check-In, then blink when asked. First, enroll once with Enroll face for kiosk check-in. The same enrollment lets you check in at an office face kiosk.
- No signal? The app saves your Check In / Check Out on the phone and sends it automatically when you're back online. The time you tapped is the time recorded. An amber banner shows how many punches are waiting. If one can't be recorded later, a red banner offers Regularize →. Face check-in needs a connection.
- If your attendance policy doesn't allow mobile check-in, the button is greyed out and says why.
What else you can do on the phone
- Home: your details, today's attendance, your leave balance and quick-access tiles.
- Attendance: your monthly history, Regularization requests (fix a missed punch) and On Duty requests (work on a day off).
- Leave: balances, comp-off credits, Apply for Leave (full day or half day), and Cancel Request while a request is still pending. Holidays lets you pick optional holidays.
- Expenses: New Claim with a photo of each receipt, then Submit Claim. Follow its approvals and see any question from an approver.
- Timesheets, Travel requests, Company News, your Org Chart (drawn from each person's reporting manager) and a view-only My Profile.
- Approvals for managers: leave, attendance corrections, On Duty and travel requests.
