Everything's in place. Run your first payroll, and your team can begin using the app for their day-to-day work.
Run your first payroll
One month's pay, from extras and overtime to payslips and the bank file. Money is marked paid only at the very last step.
Before the run · add the month's extras
Payroll › Payroll › Payroll inputs- Choose the Pay month and click Add item. Pick the Employee, the Type (incentive, bonus, variable pay, reimbursement or deduction) and the Amount. A reimbursement needs the bill; a deduction needs a reason.
- Each item goes through the approval levels from Step 9, to the people named on Settings › Responsibilities (Step 5). Approvers find what's waiting for them under Payroll › Payroll › Payroll Approvals (they can tick several and click Approve selected).
Run it · from Draft to Paid
Payroll › Payroll › Payroll Runs- Create the run. Click Create Run, pick the Month and Year (never a future month), and the Run scope: By country (whole organisation) or By office location to pay one office. Click Create. The run starts as Draft.
- Decide overtime (only if you pay it). If any policy has Pay overtime in payroll on, the run page shows Overtime review. A payroll approver — never for their own overtime — clicks Pay or Don't pay for each person. The run can't be processed until every decision is made.
- Process. Click Process Payroll. A check list appears first: Issues that must be fixed before processing (for example someone with no salary or no country) stop you; Warnings you can read and accept by ticking the box and clicking Proceed Anyway. The run becomes Processed — awaiting approval.
- Review. Check the totals (gross, deductions, net pay) and each person's breakdown — Paid Days, LOP Days, earnings, deductions and income tax.
- Approve. A different person from whoever processed it clicks Approve payroll. If overtime is being paid, they tick I have checked the overtime hours and amounts above. The run becomes Approved and payslips are generated.
- Pay the bank. Download the Bank File (or Bank File (Excel) to view it) and make the salary payment through your bank.
- Release. Once the money has gone out, click Release Salaries, enter the Payment date and an optional Payment reference, and confirm. The run becomes Paid and employees can now see their payslips.
What your employees see
My › My PayslipsAfter you release, each employee finds the month's payslip under My › My Payslips and can download the PDF. If payslip emails are set up for your company, they're also emailed that it's ready. Before release, nothing shows there.
Your team starts using it
Setup's done — here's what everyone does day to day, on the web and in the mobile app.
Your employees
Sign in with the invite from Step 14 (or Step 16 if you imported them) — on the web or the Verdeshell mobile app. Check in and out from the mobile app (or the office device); the web dashboard shows today's shift and a Check out button once they've checked in. They Apply Leave, ask for On Duty or to correct a missed punch, submit expense claims (New Claim) and reimbursements, pick optional holidays, and see My Payslips, My Tax and My Documents.
Your managers
Requests flow to the reporting manager on each person's profile, then to any further approvers named on Settings › Responsibilities. Leave, attendance corrections and timesheets land in Time & Attendance › Approvals; payroll items in Payroll Approvals; expense claims in Operations › Expenses. See Approvals in Everyday use for the full list. Managers can approve leave, attendance corrections, On Duty and travel requests from the mobile app too.
You, the admin
Add new joiners (with their shift), run payroll each month, post Company News, and keep details up to date. Everything else runs on the rules you set in Part 1.
